Privacy Policy

Eastern Charter is committed to protecting the privacy and security of personal information. This Privacy Policy outlines how we collect, use, disclose, transfer, and destroy customer personal information in compliance with the Freedom of Information and Protection of Privacy Act (FIPPA) and the General Data Protection Regulation (GDPR).

Consent

Eastern Charter will obtain knowledgeable consent from any individual from whom it collects personal information, meaning that Eastern Charter will inform an individual of its specific purposes for collection, use and disclosure of the individual’s personal information before collecting this information.
Each Eastern Charter service agreement determines the manner in which it will identify its purposes for collection, use and disclosure of personal information, following standards set out in Eastern Charter’s privacy procedures.

Accountability/Challenging Compliance

Our Privacy Officer is accountable for Eastern Charter's compliance with this Privacy Policy. If you have any challenge concerning our compliance with this Privacy Policy or if you have any questions about Eastern Charter's purposes for the collection and retention of your personal information, then please contact our Privacy Officer at the contact address and provide a description of your concerns sufficient in detail to permit the Privacy Officer to investigate your concerns and contact you. Eastern Charter’s privacy program

Eastern Charter have designated our regional manager as Privacy Officer. The regional manager has developed and implemented a company-wide privacy program through which Eastern Charter has defined and will meet its privacy obligations.
The foundation of this program is Eastern Charter’s privacy policy, which defines the full scope of Eastern Charter’s commitments regarding the appropriate collection, use and disclosure of personal information. The regional manager will make the privacy policy available to any individual or organization that requests it.
The regional manager has developed and implemented the following measures to support Eastern Charter in meeting the requirements of its privacy policy:

§  Privacy and information management procedures to ensure that Eastern Charter employees appropriately limit their access to and use, disclosure and retention of personal information according to the purposes for which the information was collected by Eastern Charter.

§  Privacy training and awareness for all new employees, with refresher privacy training provided on a periodic basis.

§  Processes for identification and management of privacy risks.

§  Privacy audit activities to determine whether Eastern Charter is in compliance with its privacy requirements as defined in legislation and its own policy.

Safeguards

Eastern Charter has implemented information security safeguards to protect personal information in its custody from all unauthorized collection, use, disclosure, and retention, including but not limited to:

§  Access controls on Eastern Charter information management systems (electronic and hard copy) to ensure that access by employees to personal information has been appropriately limited.

§  Data protection measures, including protection (e.g., encryption) of personal information when transmitted between Eastern Charter and third parties is required.

§  Network protections, including firewalls, intrusion detection and prevention measures, and anti-malware protections.

Collection of Personal Information: We collect personal information from customers when they request a quote, fill out a form, or interact with us in any way. We may disclose customer personal information to trusted third parties such as sub-contractors who assist us in operating our solution, conducting our business, or servicing customers, provided that such parties agree to keep this information confidential. We may also transfer personal information in compliance with FIPPA and GDPR requirements.

Data Retention: We retain customer personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy and as required by applicable laws. We periodically review the data we hold and securely dispose of any unnecessary data.
